Switch from FieldEdge
Switching from FieldEdge to JobStack: a step-by-step guide.
You've decided to move off FieldEdge. This guide walks through what to export, how to clean it up, how to import into JobStack, and how to run both in parallel so you don't get stranded.
Why operators leave FieldEdge
- Cost outgrew the value. FieldEdge per-user pricing and annual commitments stopped pencilling out as your team stayed small.
- Service agreement complexity wasn't yours. Built-in maintenance plan tools matter for HVAC/plumbing operators with recurring revenue. Less so if your work is mostly one-off.
- AI shipped slowly. Modern AI features (auto-response, voice-to-estimate) became table stakes faster than FieldEdge moved.
- Wanted public pricing. Sales calls and quote-only pricing felt out of step with how SaaS works in 2026.
What carries over, what changes
Carries over
- Customer list
- Job and work order history
- Open and historical invoices
- Payment records
- Equipment records (with manual mapping)
- Service location data
Needs setup or rethinking
- Smart Price flat-rate pricebook (rebuild as templates)
- Service agreements and maintenance plans (recreate as recurring jobs)
- QuickBooks Desktop sync if you're on Desktop (JobStack uses Online)
- Custom forms and trade-specific workflows
- Marketing attribution
- Membership billing automations
The migration, step by step
- 1
Confirm contract end date
FieldEdge agreements are typically annual. Find your renewal date and any cancellation notice requirements.
- 2
Export your data
Use FieldEdge's data export tools to pull customers, jobs, invoices, and payment records as CSVs. Save to a folder you'll retain per your tax requirements.
- 3
Decide what you're rebuilding
Make an honest list: which FieldEdge features do you actually use weekly? Service agreements, Smart Price, advanced reporting — rebuild only what you genuinely depend on.
- 4
Import into JobStack
Upload your CSVs. The importer maps standard fields automatically. Spend time deduping customers if your FieldEdge account is several years old.
- 5
Rebuild your top pricebook items
Convert your 20–30 most-used Smart Price items into JobStack line item templates. These cover 90% of jobs; build the rest as you go.
- 6
Reconnect QuickBooks and payments
If you're on QuickBooks Online, the JobStack integration takes a couple of minutes. If you're on Desktop, you'll need to migrate to Online first — that's a separate project.
- 7
Test with real HVAC/plumbing jobs
Run actual maintenance and repair tickets end-to-end. Maintenance plan workflows are the most likely place to find gaps; address them in week 1.
- 8
Parallel run for 2 weeks
Given FieldEdge's depth, run parallel longer than usual. JobStack handles new work; FieldEdge stays accessible.
- 9
Cancel and archive
Submit cancellation per your contract terms. Download a final export before access lapses.
Common gotchas
-
QuickBooks Desktop: if you're on QB Desktop, JobStack uses QB Online. Migrate to QB Online first or this becomes a two-stage project.
-
Service agreements: if maintenance plan billing is automated through FieldEdge, recreate it carefully in JobStack — easy to drop a customer's auto-renewal otherwise.
-
Smart Price complexity: the deeper your pricebook, the bigger the rebuild. Budget time accordingly.
-
Annual contract: early cancellation fees can be significant. Read your agreement.
-
Tech scorecards and trade-specific reporting don't have direct equivalents. Decide what to track in JobStack vs. accept as lost.
Realistic timeline
- Week 1 Export, audit contract, plan the rebuild scope.
- Week 2 Import to JobStack, rebuild pricing templates, reconnect integrations.
- Week 3–4 Parallel run; FieldEdge accessible for reference, JobStack for new jobs.
- Pre-renewal Submit cancellation, final data export, archive.
